Privacy Policy

USA Darts Academy respects the privacy of players, parents, legal guardians, volunteers, donors, partners, and website visitors. This policy explains what information we collect through our website and online forms, how we use and protect it, and the choices available to individuals and families.

Scope of This Policy

This Privacy Policy applies to personal information collected through the USA Darts Academy website, our contact and player-registration forms, and related electronic communications.

This policy does not control the privacy practices of independently operated websites linked from our site, including event organizers, registration providers, sponsors, partners, or governing organizations. Review their privacy policies before providing information on their websites.

Information We Collect

Information You Provide

We may collect information that you voluntarily provide, including:

  • Contact inquiries: Your name, email address, relationship to USA Darts Academy, inquiry topic, and message.
  • Player registration: The player’s legal and preferred names, date of birth, age group, city, state or province, ZIP or postal code, primary-contact information, relationship to the player, preferred academy and program, darts experience, player goals or questions, emergency-contact information, and required registration acknowledgments.
  • Correspondence: Information provided in subsequent emails, telephone calls, or other communications relating to programs, events, volunteering, donations, sponsorships, partnerships, or support requests.

Please do not submit Social Security numbers, payment-card information, detailed medical records, account passwords, or other highly sensitive information through our public website forms. If additional sensitive information is required for participation, USA Darts Academy will provide separate instructions for submitting it appropriately.

Information Collected Automatically

When someone visits our website, our hosting, security, and website systems may automatically collect limited technical information, such as:

  • Internet Protocol address
  • Browser, device, and operating-system information
  • Pages visited and actions taken on the website

  • Operate, maintain, troubleshoot, secure, and improve our website and forms.
  • Prevent fraud, misuse, unauthorized access, and other harmful activity.
  • Comply with legal obligations and protect the rights, safety, and property of players, families, volunteers, staff, USA Darts Academy, and others.

How We Share Information

USA Darts Academy may disclose personal information only when reasonably necessary for the purposes described in this policy, including:

  • Authorized personnel: Staff members, volunteers, coaches, academy leaders, and program administrators who need the information to review registrations, communicate with families, operate programs, or address safety concerns.
  • Service providers: Companies that support our website and communications, including WP Engine for website hosting and infrastructure, WordPress and Fluent Forms for website and form functionality, and Twilio SendGrid for email delivery.
  • Program and event partners: Academy locations, event organizers, or partner organizations when disclosure is necessary to provide a requested program or opportunity and appropriate notice or permission has been provided.
  • Legal and safety purposes: Government authorities, law enforcement, legal advisers, insurers, or other parties when required by law or reasonably necessary to protect legal rights, investigate misconduct, prevent harm, or respond to an emergency.
  • Organizational changes: A successor organization or service provider involved in a merger, restructuring, transfer, or similar organizational change, subject to appropriate confidentiality protections.

We may also use or disclose aggregated or de-identified information that does not reasonably identify a particular individual.

USA Darts Academy does not sell or rent personal information. We do not use personal information collected through our contact or player-registration forms for targeted advertising.

Youth and Children’s Privacy

USA Darts Academy primarily serves youth and young adults. A parent or legal guardian must submit and approve online registration for any player under 18. Players ages 18 through 20 may submit their own registrations.

We do not intend to collect personal information online directly from children under 13. A parent or legal guardian must provide registration information for a player under 13. Children under 13 should not submit personal information through our registration form, contact form, or other website features without the involvement of a parent or legal guardian.

If we learn that personal information was submitted directly by a child under 13 without appropriate adult involvement, we will take reasonable steps to delete it or contact the parent or legal guardian to determine the appropriate action.

A parent or legal guardian may contact USA Darts Academy to:

  • Ask what personal information we maintain about their child.
  • Request access to or correction of that information.
  • Request deletion of the child’s information.
  • Withdraw permission for further use or collection of the child’s information.
  • Ask questions about how the information has been used or disclosed.

We may take reasonable steps to verify the requester’s identity and authority before granting access to, changing, or deleting a player’s information. Certain information may be retained when reasonably necessary for legal compliance, safety, dispute resolution, insurance, or legitimate organizational recordkeeping.

USA Darts Academy will not require a player or family to provide more personal information than is reasonably necessary to review registration, administer participation, communicate with the family, and support player safety.

Data Retention

USA Darts Academy retains personal information only for as long as reasonably necessary to fulfill the purposes described in this policy. Retention periods may depend on whether an inquiry is resolved, a registration results in participation, an individual remains involved with a program, or records are needed for safety, insurance, accounting, dispute resolution, or legal compliance.

When personal information is no longer reasonably necessary, we may delete, anonymize, or securely dispose of it. Information may remain temporarily in routine backups until those backups are replaced or deleted through normal retention processes.

Data Security

USA Darts Academy uses reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure. These safeguards may include secure website connections, access restrictions, account protections, software updates, backups, and limiting information access to authorized individuals with a legitimate need.

Service providers that process information on our behalf are selected with consideration for their ability to support appropriate privacy and security practices.

No website, email system, or electronic-storage method can be guaranteed to be completely secure. Individuals should avoid sending highly sensitive information through ordinary email or public website forms. If we become aware of a data-security incident affecting personal information, we will investigate and provide notifications when required by applicable law.

Families should review those policies before providing personal information or completing an external registration.

Privacy Requests and Choices

Depending on the circumstances and applicable law, an individual or authorized parent or legal guardian may request to:

  • Access personal information maintained by USA Darts Academy.
  • Correct inaccurate or incomplete information.
  • Delete personal information that is no longer required.
  • Withdraw a previously provided permission when processing is based on that permission.
  • Stop receiving nonessential program or organizational communications.

Submit a request by emailing info@usadartsacademy.org with “Privacy Request” in the subject line or by contacting us using the information below. When a request concerns a youth player, identify your relationship to the player. Do not send identification documents, full birth dates, or other highly sensitive information with the initial request.

We may request additional information when reasonably necessary to verify identity, authority, and the records involved. We will review requests and respond as reasonably appropriate, subject to applicable legal, safety, insurance, and recordkeeping requirements.

Changes to This Privacy Policy

USA Darts Academy may update this Privacy Policy to reflect changes in our programs, website, information practices, service providers, or legal obligations. The revised policy will be posted on this page with an updated “Last updated” date. When appropriate, we may provide additional notice of material changes.
